Tips for hosting online events

Do

  • Require registration for your event, even if it is free. This will allow you to send the access link only to people who are registered, rather than posting it in a public place. This is also an opportunity for you to collect valid email addresses from your audience. 
  • Enable the passcode and waiting room features for Zoom events. This will help secure your event and also allow you to meet with your featured speakers to iron out any last-minute details before your attendees start entering the meeting.

  • Hold a run-through at least a few days before the event with all your featured participants. This will allow you to address any issues with lighting and sound and give your speakers a chance to practice sharing their screens correctly.
  • Keep your meeting to under an hour. If it must be longer than an hour, plan for breaks in your meeting.
  • Review the tips for running a Zoom event, both for your own reference and for your speaker/presenter.
  • Use interactive elements in your online events – polls, breakout rooms, Q&A features, etc. This will help keep your audience engaged.
  • Send reminder emails to your registered attendees containing the access link and/or meeting ID and passcode. It’s a good idea to send two reminders – one from Marketo a day or two before and one from Cvent (if using) several hours in advance.
  • Include the time zone for your event in your event materials (invitations, reminders, etc.). This will help avoid confusion for your audience if they are joining from another location.
  • If using Zoom, have an alternative host designated for your event so that someone else is able to open the meeting if your internet is down or you are unavailable for some reason.

Don't

  • Post your access link in a public place. This could potentially expose your event to Zoom bombers or other poor behavior. Provide the link to register (or link to the livestream) instead.
  • Move from one online venue to another or between multiple meetings. Keep your event to one link per event to avoid confusion.
