Trumba calendar

Trumba is a centrally-managed calendar tool available for use by departments and units. Trumba makes it easy to spread the word about events across campus. Use the resources below to help you get started managing an existing calendar or requesting a brand new one.

Getting started

My unit/ department does not use Trumba and we would like to startMy unit/department has an existing calendar that I need to manage
You will need to request a new calendar. The instructions to do this are on the UW-IT website.

Send an e-mail to UW-IT specifying the event calendar you need to maintain.

If you are part of the College of Engineering, let them know this so they can add you to our calendar groups. This will allow you to share your events with the central COE calendar.

If your unit or sub-unit is part of the College or has a strong affiliation to our audiences, you may request for UW-IT to connect your calendar into the College of Engineering structure.

Before making this request, please make sure to communicate with the manager/owner of the calendars you are requesting share access to. If you are unsure of who to contact, follow these instructions from UW-IT to locate calendar managers or send us an email.

To make this request, you should ask UW-IT to have your calendar “Show on” the College of Engineering calendar (or other related calendars). This will allow you to share select events with other calendars. We encourage you to always consider how relevant your events are to the audiences of other calendars and avoid over-sharing of events, or sharing recurring series that may only be relevant to a small audience subset.

Use cases and FAQs

My department’s faculty hosts a series of recurring meetings that are taking up a lot of space during our busiest time. How can I separate these meetings, that are only relevant to a small subset of faculty, separate from the rest of our events?

Sub-calendars are a fantastic way to create clusters of events that are relevant to a specific subset of your larger audience, allowing you to better organize your organization’s calendar. Another benefit of sub-calendars is that users can subscribe to just the events that are most relevant to them. You can also embed the sub-calendar on a website.

To request a sub-calendar, reach out to UW-IT–they will require you to include some information with your request.

An event that is displaying on our calendar has been cancelled. How can I delete it from Trumba/ my web feed?

While you can delete an event on Trumba, we strongly recommend editing the title to specify that the event is “CANCELLED”. Potential attendees may have already added the event to their personal calendars and may be planning on attending. This will allow them to become aware that the event is no longer happening. If you delete an event, it will simply disappear from your feed.

I no longer want an event/series of events from a different calendar to display on my calendar. How can I go about removing them?

To hide events or series of events, you need to remove the "showing on" setting that connects it to your calendar using Trumba. Once you remove your calendar from this setting, the event/series of events will no longer be affiliated with your calendar.

If you are using the Drupal homepage calendar feed, hiding events will take an extra step: visit your event feed settings under Configuration and "Hide" each individual calendar item you wish to remove from your homepage calendar. If you do not have access to do this in Drupal, reach out to a web specialist for help.
